Chief of Administration
Chief of Admin will responsible to liaison between Board of Director and C-Level as well as Group Head or other relevant internal and external parties. This position will also recording, cascading, presiding and monitoring all Board of Director meetings including the follow-through process.
Key Responsibilities:
- Arrangements for Board of Directors meeting Agenda
- Oversees day-to-day administrative activities and ensures smooth corporate office operations such as monitoring meeting room alloacation and related office facilities.
- Fosters a healthy and inclusive work environment
- Distribute information and meeting result to related parties or key persons
- Organize the office layout and order stationery and equipment
- Maintain the office condition and propose necessary repairs
- Partner with HR and General Affair to update and maintain office policies as necessary
- Organize office operations and procedures
- Coordinate with the IT department on all office equipment
- Manage office General Affair budget and ensure accurate and timely reporting
- Address employees’ queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
- Liaise with facility management vendors, including cleaning service, security, maintenance, and environmental services
- Plan in-house or off-site activities: meeting, conference, townhall, etc.
Key Requirements:
- Bachelor’s Degree in Business Administration or related field
- Minimum 5 years of extensive administrative and senior leadership experience
- Experienced in office and building management field
- In-depth knowledge of management principles and supervisory practices
- Deep understanding of advancements in public administration and organizational development
- Outstanding written and verbal communication skills
- Strong interpersonal, organizational, and decision-making skills
- Excellence in handling meeting events and conferences both offline and online.
